We recommend beginning your planning process three to four months before the desired party date. This gives you enough time to coordinate schedules, book accommodations at the best rates, and secure reservations at popular venues and restaurants without feeling rushed.
The first step is always communication. Have a private conversation with the bride about her vision, boundaries, and non-negotiables. Some brides have strong opinions about what they want (or do not want), while others are happy to be surprised. Either way, understanding her expectations upfront prevents awkward situations later.
Next, create your guest list and establish a group communication channel. A dedicated group chat (without the bride, if you are planning surprises) is essential for coordinating schedules, collecting payments, and making group decisions. Budget conversations should happen early and honestly. Send a poll asking each person's comfortable spending range, then plan activities that fit within the lowest budget mentioned. Nobody should feel financially stressed by the celebration. Consider creating a shared spreadsheet that tracks all expenses transparently.
Two to three months out, you should be booking major elements: flights, accommodations, and any activities that require advance reservations. This is also when you should choose your theme, order custom items (matching shirts, sashes, decorations), and start building your itinerary.
One month before the party, send a detailed itinerary to all guests including addresses, dress codes, what to pack, and the payment breakdown. Confirm all reservations, collect final payments, and prepare any surprise elements for the bride. This is also a good time to create a shared playlist and plan your party games.
The week of the party, do a final check on all logistics. Charge your devices, download offline maps, pack your decorations and emergency kit, and send a reminder message to the group with meeting time and location details.
